Stack Sports - Organizing Tips

To help you stay organized, we’ve highlighted a few tools designed to keep your operations running smoothly during this high-traffic season. Whether you're managing back-to-back tournaments, assigning referees to league games, or prepping your officials for tax season, these tips are here to support a smoother season.

UPDATE: PAYMENT ELIGIBILITY & TAX INFO

We want to remind you of a few key updates that help streamline the tax process. Whether you're supporting youth or adult officials, entering tax information in Stack Officials is now simpler and more flexible.

What's new:

Youth officials can enter their own Social Security Number (SSN) into Stack Officials, even if the connected Stripe account is set up under a parent or guardian’s name. This makes it easy for families to track earnings and receive 1099-NEC tax forms in the youth official’s name — no guesswork needed come tax time.

Adult officialscan enter either a personal SSN or a business name with an EIN, giving them flexibility in how they report their income. This added option supports side businesses and simplifies financial planning for independent contractors.

As of August 2025,allofficials, assessors, and assignors must have valid tax information entered in Stack Officials to be included in a new pay batch. If your event pays officials online, keep an eye out for the red $ icon. This indicates that the individual is missing either a Stripe account or required tax details, and they won’t be eligible for payment until that’s resolved.

Please encourage your team to complete this step as soon as possible to avoid delays in payments.

BEST PRACTICE SPOTLIGHT

To keep your assignments, schedules, and reporting accurate and easy to manage, we recommend creating a new event in Stack Officials for each season, tournament, or competition cycle rather than reusing a past event.

Here’s why this makes an impact:

  • Keeps data clean and up to date – Each event reflects the current season’s details, making it easier to track assignments, payments, and availability.
  • Improves reporting accuracy – Clear event boundaries lead to more reliable reporting for payroll, tax forms, and performance tracking.
  • Simplifies communication – Officials see only the relevant games, messages, and assignments for the season they're working on.
  • Reduces confusion – When seasons overlap in the same event, things can get cluttered quickly. Starting fresh each time keeps things organized for everyone involved.

Think of each event as a folder! Starting a new one for each season helps you and your officials stay focused, organized, and on the same page

MOBILE APP: COMPLETING TASKS ON THE GO

We’re continuing to enhance the Stack Officials mobile app with smart tools designed to make events and assignment management even more efficient for everyone. As we expand mobile access across all roles, we want to make sure you're up to date on who can do what within the Stack Officials app.

Here’s a quick breakdown:

Event Admins & Assignors

You can use the mobile app to:

  • Monitor assignment activity in real time
  • Make last-minute assignment changes
  • Open/close games for self-assignment
  • Text or Email game crews
  • Enter pay notes

Officials

Your officials have mobile access too. Here’s what they can do:

  • Manage their availability
  • Accept or decline assignments
  • Self-Assign, if permitted
  • Text or call fellow crew members
  • Get GPS directions to venues
  • Submit post-match reports

Assessors: Coming Soon!
